You will assist in various office tasks, including answering phone calls, scheduling appointments, maintaining records, and providing support to office staff and care workers. Responsibilities:
Answer phone calls and respond to inquiries from clients, care workers, and other professionals in a professional and courteous manner.
Schedule appointments
Responding to missed call alerts, coordinating care workers accordingly.
Coordinate with care workers to ensure timely arrival and departure for client visits, and communicate any changes or updates as needed.
Assist with the maintenance of client records.
Prepare and distribute paperwork in accordance with company policies and procedures.
Assist with verifying service hours.
Maintain office supplies and equipment, and place orders as needed to ensure adequate stock levels.
Assist with data entry tasks, including inputting client information, care workers schedules, and service logs into the electronic record system.
Provide administrative support to office staff, including photocopying, filing, scanning documents, and organizing office spaces.
Collaborate with colleagues to ensure a seamless flow of communication and information between the office and field staff.
Adhere to confidentiality policies and guidelines when handling sensitive client information and records.
Participate in training and professional development activities to enhance job knowledge and skills.
Qualifications:
High school qualifications required; additional education or training in office administration or related field preferred but not essential.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Excellent communication skills, both verbal and written, with the ability to interact professionally with clients, care workers, colleagues and other professionals.
Strong organisational skills and attention to detail, with the ability to prioritize tasks and manage multiple responsibilities efficiently.
Compassionate and empathetic approach to working with clients and colleagues.
Ability to maintain confidentiality and adhere to privacy and security regulations when handling client information.
Flexibility to adapt to changing priorities and schedules, with a positive attitude and willingness to learn.
The ability to travel to different locations as needed.
