Responsibilities:

  • Answer phone calls and respond to inquiries from clients, care workers, and other professionals in a professional and courteous manner.

  • Schedule appointments

  • Responding to missed call alerts, coordinating care workers accordingly.

  • Coordinate with care workers to ensure timely arrival and departure for client visits, and communicate any changes or updates as needed.

  • Assist with the maintenance of client records.

  • Prepare and distribute paperwork in accordance with company policies and procedures.

  • Assist with verifying service hours.

  • Maintain office supplies and equipment, and place orders as needed to ensure adequate stock levels.

  • Assist with data entry tasks, including inputting client information, care workers schedules, and service logs into the electronic record system.

  • Provide administrative support to office staff, including photocopying, filing, scanning documents, and organizing office spaces.

  • Collaborate with colleagues to ensure a seamless flow of communication and information between the office and field staff.

  • Adhere to confidentiality policies and guidelines when handling sensitive client information and records.

  • Participate in training and professional development activities to enhance job knowledge and skills.


Qualifications:

  • High school qualifications required; additional education or training in office administration or related field preferred but not essential.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

  • Excellent communication skills, both verbal and written, with the ability to interact professionally with clients, care workers, colleagues and other professionals.

  • Strong organisational skills and attention to detail, with the ability to prioritize tasks and manage multiple responsibilities efficiently.

  • Compassionate and empathetic approach to working with clients and colleagues.

  • Ability to maintain confidentiality and adhere to privacy and security regulations when handling client information.

  • Flexibility to adapt to changing priorities and schedules, with a positive attitude and willingness to learn.

  • The ability to travel to different locations as needed.
